Volunteer Systems & Engagement Coordinator (Fixed Term)
Reports To: General Manager, People & Community Services
Location: HBH Senior Living (with flexible/remote options as agreed)
Term: Fixed-term, project-based role
Purpose of the Role
To lead the implementation of a centralised, electronic HR system for volunteer management, coordinate recruitment and onboarding of new volunteers, and strengthen communication and engagement with existing volunteers and HBH staff. This role is critical in delivering the goals outlined in the Volunteering Project Plan.
Key Responsibilities
1. Volunteer System Setup & Implementation
- Lead the selection and implementation of an electronic volunteer management system
- Set up volunteer personnel files, attendance tracking, and scheduling features
- Ensure secure, value-for-money IT solutions aligned with HBH systems
- Coordinate system documentation and onboarding on HBH intranet
2. Volunteer Recruitment & Onboarding
- Design and document a streamlined recruitment process
- Collaborate with internal teams to define volunteer roles and boundaries
- Manage orientation sessions and induction materials
- Ensure Health & Safety and identification procedures are in place
3. Volunteer Communication & Engagement
- Maintain a regular volunteer newsletter and event calendar
- Coordinate volunteer surveys and feedback collection
- Support ongoing training and recognition activities
- Ensure communication aligns with volunteer preferences
4. Liaison & Integration
- Liaise with RNs, Activities staff, and other stakeholders to align volunteer support with resident needs
- Promote volunteer visibility through staff newsletters and meetings
- Work collaboratively with IT/Admin and Communications teams
