About the Role
The Talent Acquisition (TA) Coordinator provides comprehensive administrative and candidate experience support to the TA team. This role ensures a seamless recruiting and pre-boarding experience, which may include supporting candidates from interview scheduling through Day 1 readiness.
Key Responsibilities
- Support TA team by coordinating interview scheduling across multiple calendars/time zones, including virtual/on-site logistics, as needed.
- Support completion of pre-hire paperwork, including I-9 guidance, policy acknowledgments, and required documentation.
- Monitor candidate progress on all pre-employment steps and escalate delays or issues proactively.
- Coordinate with HR, IT, and hiring managers to ensure Day 1 readiness (equipment, onboarding schedules, etc).
- Maintain strict confidentiality and ensure compliance with hiring regulations and documentation requirements.
- Track background check statuses, start dates, and onboarding milestones in the ADP applicant tracking system (ATS) and reports.
- Assist and support recruiting events (career fairs, hiring days, university recruiting) and logistics, including preparing presentations materials, attendee lists and trackers, candidate packets, event collateral, and other items as needed.
- Ensure compliant handling of candidate data and consistent process documentation.
- Assist with arranging TA team travel, as needed (flights, hotels, ground transportation).
- Orders supplies, lunches or coordinate catering for onsite interview days, team sessions, or as needed.
- Support TA with operational documentation including creating and saving SOPs, marketing materials, and more.
- Manage TA mailbox for candidate communications.
Travel Requirements
- Travel: Up to 5% (occasional visits to data center sites, hiring events, or team meetings).
Qualifications - Required
- Entry level experience in coordination, administration, scheduling, or HR/TA operations.
- Strong communication and customer service mindset with a professional demeanor interacting with candidates and internal / external stakeholders.
- Strong organization, attention to detail, and ability to prioritize in a fast-paced environment.
- Comfortable working with calendars (Outlook), ATS systems, and Excel spreadsheets.
Qualifications - Preferred
- Experience with high-volume scheduling or multi-site hiring.
- Familiarity with recruiting metrics and reporting.
- Familiarity with background check processes, pre-boarding workflows, or onboarding programs.
- Prior experience coordinating candidate travel or managing vendor partnerships.
- Fluent bilingual proficiency in Spanish and English, spoken and written.
