Job Summary
Synechron is seeking a dedicated and organized Onboarding Specialist to deliver a seamless onboarding experience for new employees. The role involves coordinating onboarding activities, developing processes that enhance new hire engagement, and ensuring compliance with organizational policies. This individual will support new hires in feeling welcomed, well-informed, and fully prepared to succeed in their roles, thereby contributing to employee retention and organizational integration.


Software Requirements


Required:

  • Proficiency in HR management systems and onboarding platforms (e.g., SAP SuccessFactors, Workday, Oracle HCM).

  • Strong skills in Microsoft Office Suite (Word, Excel, PowerPoint) for documentation and reporting.


Preferred:

  • ​Use of process automation tools or HR analytics platforms for reporting and analysis.


Overall Responsibilities

  • Assess the onboarding needs of new hires and develop customized onboarding plans aligned with organizational objectives.

  • Prepare onboarding materials, including welcome kits, training schedules, and company policies.

  • Facilitate orientation programs by guiding new employees through organizational policies, procedures, and culture.

  • Ensure new hires have access to all necessary tools, equipment, and resources for their tasks.

  • Establish and maintain positive relationships with new employees to foster engagement and a smooth integration process.

  • Collect, analyze, and present onboarding data and feedback to senior management to identify opportunities for process improvements.

  • Maintain and update accurate employee records and ensure compliance with company policies and legal requirements.

  • Develop and continuously improve onboarding procedures and workflows for increased efficiency and effectiveness.

  • Act as a primary point of contact for new hires, addressing questions, providing support, and resolving onboarding issues.

  • Collaborate with HR, hiring managers, and other departments to ensure a consistent and effective onboarding process.

  • Track onboarding progress, monitor completion rates, and ensure all onboarding activities are properly documented.



Technical Skills (By Category)


HR Systems & Documentation

  • Required: Experience with HR management and onboarding platforms (e.g., SAP SuccessFactors, Workday, Oracle HCM).

  • Preferred: HR data analysis and reporting skills.


Office Productivity Tools

  • Required: Advanced proficiency in Microsoft Word, Excel, and PowerPoint.

  • Preferred: Knowledge of document automation or templating tools.


Communication & Collaboration Tools

  • Required: Familiarity with email, scheduling applications, and collaboration platforms such as Outlook, Teams, or Zoom.


Experience Requirements

  • 3+ years of experience supporting employee onboarding or HR operational functions.

  • Demonstrated ability to develop and implement onboarding processes and manage employee integration activities.

  • Proven track record of working effectively in cross-functional teams and managing multiple stakeholders.

  • Alternative pathways: Experience in administrative support, employee engagement, or organizational onboarding initiatives.


Day-to-Day Activities

  • Coordinate onboarding schedules with hiring managers and HR teams.

  • Create and disseminate onboarding materials, schedules, and documentation.

  • Conduct new employee orientation sessions and assist with initial job setup.

  • Collect feedback from new hires and hiring managers to improve onboarding processes.

  • Monitor onboarding progress, ensure timely completion, and prepare reports for leadership.

  • Serve as a point of contact for questions and support for new employees during onboarding.

  • Participate in regular team meetings to evaluate onboarding workflows and identify opportunities for enhancement.


Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or related field.

  • Certification in onboarding, HR administration, or employee engagement is a plus.

  • Strong commitment to continuous learning and professional development to stay current with HR best practices.
