Job Summary: 
 

The Talent Acquisition Coordinator supports talent acquisition operations and owns the onboarding and new hire experience for employees and contingent workers across the organization. This role is responsible for ensuring onboarding processes are completed accurately, efficiently, and on time while supporting recruiting administration, contingent workforce coordination, employer branding efforts, and recruiting process support activities.

Working closely with hiring managers, HR, staffing partners, and candidates, this position helps ensure a smooth and professional hiring and onboarding experience.

Essential Duties and Responsibilities

Talent Acquisition Operations Support

 

  • Maintain accurate candidate, requisition, and onboarding data within the Applicant Tracking System (ATS) and other applicable systems 
  • Coordinate contingent workforce processes, including agency communication, worker tracking, assignment extensions, and contingent-to-full-time conversions 
  • Partner with hiring managers, HR, and staffing agencies to support recruiting and onboarding timelines 
  • Provide timely and professional communication to candidates, employees, hiring managers, and staffing partners
  • Create and distribute recruiting and onboarding reports and maintain recruiting documentation and process guides 
  • Maintain employer branding and review platforms 
  • Assist in planning and execution of recruiting events and onboarding activities as needed
  • Assist with sourcing, candidate coordination, and initial screening activities as needed to support recruiting priorities and business needs.

Onboarding & Compliance

  • Own and execute the end-to-end onboarding process for employees and contingent workers 
  • Initiate onboarding workflows, distribute required documentation, and track completion prior to start date 
  • Coordinate and facilitate virtual and onsite new hire orientations 
  • Manage pre-employment and onboarding activities, including background checks, drug screens, employment verification, and onboarding readiness
  • Ensure completion and compliance of required employment documentation, including Form I-9 verification and new hire paperwork
  • Partner with internal teams including HR, IT, Payroll, hiring managers, etc. to ensure new hire readiness, including equipment, system access, and onboarding resources 
  • Serve as the primary point of contact for new hires during onboarding and proactively resolve onboarding issues or delays
  • Ensure onboarding activities are completed accurately and timely to support a positive and compliant new hire experience

Process Improvement & Operational Support

  • Support candidate, onboarding, and employee experience feedback initiatives, including distributing surveys, tracking responses, and compiling feedback data
  • Supports continuous improvement by following established processes, identifying inefficiencies or issues, and contributing to solutions that improve safety, quality, and productivity. Leverages available tools and technologies, including AI-enabled solutions, where appropriate to improve efficiency and streamline work.
  • Assist the Talent Acquisition and HR teams with additional operational support and projects as needed

Managerial Responsibility

  • This position does not have direct reports.

 

Travel/Shift Requirements

  • Some travel required for recruiting events, onboarding sessions, and visits to office or field locations as needed.

 

Physical Demands

  • Frequent sitting, computer use, and keyboarding.
  • Occasional lifting of materials up to 10 pounds.

 

Skills and Abilities Required

  • Strong organizational, administrative, and time management skills 
  • Strong attention to detail and follow-through 
  • Ability to manage multiple priorities in a fast-paced environment while being adaptable and flexible to changing business needs 
  • Excellent verbal and written communication skills 
  • Strong customer service mindset with focus on candidate and employee experience 
  • Proficiency in Microsoft Office, applicant tracking systems (ATS), and social media platforms; experience with HRIS systems preferred
  • Ability to work independently and collaboratively across teams 
  • Comfortable learning and utilizing new technologies and AI-enabled tools 

     

 

Education and Experience Required

  • Associates degree, Bachelor’s degree preferred
  • Minimum of 2 years of experience in recruiting coordination, onboarding, HR coordination, or a related role
  • Telecommunications industry experience preferred.
