The Talent Development Coordinator will be responsible for the coordination and administration of all regional learning activities, training and talent development projects. Coordinator will be the first point of contact for queries and responsible for the systems and procedures that support the growth and maintenance of our learning organization.

Essential Duties & Responsibilities

Coordinate virtual and on-site courses based on regional needs.

  • Reserve conference rooms, contact instructors to schedule courses and obtain course logistics (e.g., room set-up, Zoom login, class size, CE credits, catering).
  • Complete prep work for courses (e.g. ordering refreshments, communications, materials).
  • Coordinate with instructors prior to course start date to confirm logistics and handle post-event administration.
  • Display refreshments/catered meals, distribute materials, meet and greet instructors/attendees, provide sign-in sheet and “break down” live and virtual classrooms.
  • Serve as technical producer in virtual classrooms (commonly utilizing Zoom).
  • Collaborate with colleagues regionally to ensure logistics are handled for classes taking place in other MMA locations.
  • Support regional onboarding event (Unite).
  • Order supplies as needed and track on inventory.

Assist with the administration of the Personal Excellence Plan (P.E.P.) program.

  • Order materials approved through P.E.P. education reimbursement program.
  • Register colleagues for off-site courses and exams with appropriate institution.
  • Respond to questions regarding P.E.P. program policy guidelines, approval process, designation information, course availability, and resource options.
  • Ensure use of proper discount codes for enrollment at various educational institutions.
  • Process P.E.P. forms and invoices for approved expenses.

Administer various talent systems.

  • Monitor and manage the learning email inbox.
  • Add events to the main scheduling calendar and manage changes.
  • Administer the Learning Management System (LMS) to set-up learning objects, enroll and withdraw colleagues from courses and access their learning records.
  • Receive and respond to cases submitted from the MMA University help desk via ServiceNow and maintain L&D intranet (The Loop) page.
  • Other responsibilities and tasks, as assigned.

Education and/or Experience

Position requires a service-oriented individual with a high level of integrity, maturity and personal standards. Must be assertive, positive and approachable, and project a professional image in action and appearance. Must handle confidential information and sensitive issues with tact and diplomacy. Must also have the aptitude and discipline to administer systems and follow processes.

In addition, the following is required:

  • Bachelor’s degree preferred
  • 1 year of Human Resources, Learning & Development or related field experience preferred
  • Previous experience with HRIS, Learning Management System, or Performance Management System preferred
  • Aspirations to become an internal trainer and to develop expertise in facilitation and public speaking
  • Organizational and interpersonal skills along with attention to detail and desires to work
  • Demonstrated ability to effectively work within a team, at a varied pace, adhere to schedules and deadlines, prioritize workload and manage multiple projects simultaneously
  • Willingness to jump in and complete projects as needed
  • Ability to think “outside-the-box” and contribute innovative ideas and suggestions to the team
  • Proficiency with the Microsoft Suite including work experience creating professional level documents, and presentations
  • Ability to work effectively in the office or virtually leveraging all technology tools available
  • Professional written and verbal communication skills

Work Environment & Physical Demands

  • Comfortable with setting-up A/V equipment, video conference software (Zoom), and coordinating or facilitating virtual meetings
  • Work is performed in a typical interior/office work environment and virtually
  • Flexible office hours; however, must be available when programs are held to ensure they run smoothly
  • Ability to use computer keyboard and sit in a stationary position for extended periods
  • Travel to various MMA offices occasionally required
