JOB SUMMARY:

Coordinates and handles logistics for all classroom scheduling and space utilization; coordinates creation of all orientation/class supplies, set up of training facilities and Team Member scheduling. Maintains various databases of TD specific information. Supports the TD team general needs and maintains strong working relationships across the company and with external vendors. Provides quality assurance on data inputted into training tracking systems.

MAJOR RESPONSIBILITIES:

  • Supports Team Member Orientation scheduling and maintains class schedules, with a primary focus on DLT/Emerge/Launch. Assists as needed with rescheduling process as well as handling Team Members with other questions and/or issues pertaining to training. Works with Team Members and TD partners to resolve problems, identifies best solution based upon their unique situation that serves both the organization and the Team Member. Supports System Administration duties, to include (but not limited to): DiSC / Success Factors – input credit/reporting/activity creation/trouble shooting / DLT Application Process Automation / Entry Level/Exempt Leader Talent Management Tracking/All DLT/launch alumni data – accessible to Champions/TA / DLT/launch bench update process automation / Planner – creates/maintains planner support mechanism for programs/classes; Foundations, DLT, emerge / SharePoint functionality for lists; DLT / Power Automate for automation; DLT applications/DLT Communications/Foundations communications/emerge/Planner/notifications for due dates. Performs quality assurance on data inputted. Provides weekly and monthly and ad hoc reporting/communication for Directors and other members of TDO and Leadership. Disseminates data/information to the appropriate parties.
  • Proactively supports the TDO Team and facilitators in all Orientations and classroom training by ensuring that all materials needed are available and assembled accurately, assists with training space set up, assists facilitators as needed, and communicates to participants necessary. Initiates and follows up on action items for projects, policies, and/or procedures and coordinates with appropriate parties including external vendor scheduling, arrangements, ordering and onsite coordination.
  • Provides logistical support in scheduling class/training rooms for learning events, team meetings and client groups for all Training Rooms, as well as securing other space when Training Rooms are not available. Ensures that all training space and equipment is adequately maintained and contacts the appropriate parties to address issues (i.e. Park Services, Technical Services, Facilities Management, coffee/water providers). Items to include (but not be limited to): Prom 103S Training Room Maintenance, Supply Par Levels, Material Creation, Assessment ordering, Vendor Relationships.
  • Supports the TDO Leadership team in coordinating meetings, maintaining calendar, as well as clerical support such as monitoring the shared inbox, correspondence, creating presentations, marketing fliers, SOP/GOP creation and maintenance.
  • Monitors and continually reviews monthly budget related to office supplies. Ensure that we are utilizing our budget dollars in the most effective manner possible while also ensuring that the team has the tools necessary to complete their core functions.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UDX policy, procedures, training, and team member involvement activities.
  • Perform other duties as assigned.

EDUCATION:

  • High school degree or GED is required.

EXPERIENCE:

  • 1+ years Human Resources experience in a fast-paced environment preferred, or equivalent combination of education and experience.
  • Must possess advanced Microsoft Suites capability and skills, especially in Excel, Power Automate, and SharePoint.
  • Strong written, oral, and interpersonal communication skills.
  • Detail orientated with a focus on planning, problem solving, organization and multi-tasking.
  • Ability to effectively prioritize, execute and delegate tasks in a fast-paced environment.
  • Experience working both independently and, in a team-oriented, collaborative environment.
  • Flexibility and adaptability to change
