JOB SUMMARY

The Seasonal People Operations (PO) Data Entry Specialist provides essential administrative support to the PO department both remotely and in person during the Burning Man event in Nevada. This temporary (April–October), full-time role focuses primarily on high-volume data entry to support event hiring, with additional day-to-day PO support as needed.

The ideal candidate has 3+ years of experience in data entry and/or administrative Human Resources work and demonstrates advanced proficiency in Google Sheets. They are exceptionally detail-oriented, comfortable working with large datasets, can effectively switch between tasks, and are adept at identifying, troubleshooting, and resolving data discrepancies. This role requires strong organizational skills, the ability to manage competing priorities, and be at ease working in a fast-paced, deadline-driven, and ever-changing environment.

Clear, professional and timely communication is critical. The Data Entry Specialist will regularly interact with managers and employees via email, slack, and in person and must bring excellent written and verbal communication skills, a service-oriented approach, and a calm, positive demeanor. A high level of discretion and confidentiality is essential, as is the ability to work independently, ask clarifying questions, and manage time efficiently. Success in this role requires consistent daily engagement and collaboration within the Seasonal Hiring team, responsiveness to direction, and the ability to act quickly on assigned priorities.

This role is partially on-site. Candidates must be comfortable camping, working in desert conditions, and assisting with light manual labor related to set up, maintenance, and breakdown of the PO camp and shared office spaces.

Off-site: this role is expected to maintain an online presence 10a - 6p PT, Monday - Friday

On-site: hours will fluctuate between 7a - 6p PT, Monday - Sunday

Any need for overtime will be communicated by and coordinated with the manager.

This is a temporary, full-time, non-exempt position running April–October 2026. The role is remote from April through early August, based on playa (Black Rock City, Nevada) from mid-August to early September, and remote again from mid-September through October.

DUTIES & ESSENTIAL JOB FUNCTIONS

Administration and timely processing of hiring paperwork to support employee hiring for the Burning Man event. Specific tasks include, but are not limited to:

  • Administrative and Data Entry (60%)
    • Maintain and accurately update shared Seasonal Hiring google sheets, ensuring data integrity across large, interrelated datasets.
    • Monitor and verify key details including pay rates, minimum wage requirements, payroll timelines, contract start/end dates, worker’s compensation/EEO codes, benefits eligibility, and completeness of submitted information.
    • Accurately transfer high volumes of data from multiple spreadsheets into the HRIS (Paycom), identifying and correcting discrepancies as needed.
    • Learn and consistently apply standardized processes, including note-taking conventions, spreadsheet updates, file naming, and digital file organization.
    • Generate offer letters and hiring notices using a mail merge system; review each document carefully to ensure accuracy and error-free records.
    • Support the Motor Vehicle Record (MVR) release process, including tracking and documentation.
    • Support the employee benefits process, including tracking and documentation.
    • Send tailored hiring packets via DocuSign; download completed packets and upload them into appropriate systems (e.g., Box.com or Paycom) in a timely manner.
  • Communications (30%)
    • Serve as a representative of the PO department while working remotely and on-site, maintaining confidentiality, and a professional demeanor.
    • Active participation in PO department and seasonal hiring meetings, check-ins, and co-working sessions.
    • Ask for help from manager and PO team members when information or processes need clarification.
    • Proactively keep the team updated on workload, timelines, and if certain areas are in need of support.
    • Work with Payroll to ensure data submitted meets their needs.
    • Monitor communication channels and respond to basic Seasonal Hiring inquiries from designated department administrators.
    • Answer any questions hiring managers and those being hired may have about the administrative aspects of their onboarding process.
    • Track and identify issues within hiring packets and paperwork; work with prospective employees directly to solve.
    • Facilitate and/or take meeting notes and minutes as requested.
  • Additional On-Playa Support: (5%)
    • Greet visitors to the PO office and provide assistance or direction as needed.
    • Contribute proactively to daily office and camp operations, including opening/closing procedures, organizing and cleaning shared spaces, sorting and removing trash, and setting up or breaking down office and living/work areas.
    • Monitor radio communications and respond to inquiries, routing or escalating issues to appropriate parties when necessary.
  • Other Functions and Responsibilities (5%)
    • Be familiar and act in accordance with Burning Man’s staff policies.
    • Participate in team meetings and maintain related correspondence.
    • Stay up to date with email correspondence, slack, and departmental communications. Distribute any relevant information to team members and relevant parties in a timely fashion.
    • Perform other duties as assigned.


LEARNING AND TEACHING

  • Documentation - Assists in the creation, publishing, and maintenance of process documentation related to assigned duties.
  • Knowledge sharing – Helps acculturate and educate junior staff in Burning Man culture and business processes.
  • Training development - Collaborates with the education team to develop training materials in their area of expertise, as requested.
  • Learning – Pursues ongoing learning in their area of expertise, working to stay current on emergent knowledge, skills, and processes.

 
QUALIFICATIONS

  • Highly experienced in processing large volumes of data with exceptional accuracy and attention to detail.
  • Advanced knowledge of Google products (Sheets, Drive, Docs), including the ability to write formulas and develop, improve, and maintain complex spreadsheets.
  • Experience with data management functions, including data entry, collection, analysis, and distribution.
  • Strong concentration and attention to detail; able to execute multi-step processes and accurately review and enter high-volume data.
  • Highly organized, with the ability to manage time effectively, prioritize work, and meet tight deadlines without sacrificing quality.
  • Analytical and solution-oriented, with strong problem-solving skills.
  • Excellent written and verbal communication skills; collaborative, proactive, and comfortable asking clarifying questions.
  • Ability to maintain personal integrity and uphold strict standards of confidentiality.
  • Resilient and adaptable; able to accept feedback, remain calm under pressure, and adjust to changing priorities and daily tasks.
  • Ability to work full-time (40 hours/week) and maintain an online presence Monday–Friday, 10:00 a.m.–6:00 p.m. PT.
  • Ability to adjust schedule seasonally and work on-site at the Burning Man event in Nevada.
  • Capable of working and living in an extreme desert environment, including temperature extremes, high winds, and periods of low visibility.
  • Honest and ethical, with a commitment to Burning Man’s principles and behavioral standards. 

PREFERRED

  • Basic knowledge of federal, state (CA and NV) and local (SF) employment laws and regulations.
  • Experience using Paycom, Box.com, DocuSign, Slack, desk.com, and/or Asana.
  • It is helpful if the candidate has previously been to Burning Man and/or is familiar with its culture.
  • Experience working in remote locations. 
  • Ability to adjust schedule seasonally to work at the Burning Man event held in Nevada.

COMPENSATION: 

Individual compensation decisions are dependent on a variety of factors, including prior experience and geographical location. The anticipated pay rate for this position is between  $20  to  $25 per hour.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT

  • Off-playa:  Work is primarily sedentary in nature; no special demands are required.
  • On-playa:  Work is primarily sedentary but will also include the need to find and meet with department representatives who may not be in the vicinity therefore this could include walking or using some form of transportation.  Some of the work will be in outside weather conditions and will be exposed to fumes or airborne particles as well as possible extremes in temperature.
