Job Profile:

We are looking for an innovative and detail-oriented People Operations Specialist to join our team! You will play a critical role in supporting the People & Culture Manager. This position manages and streamlines the operational aspects of the Talent Management and People Partnering teams. By proactively handling day-to-day HR processes, ensuring data accuracy, and maintaining compliance, the People Operations Specialist enables the People & Culture Manager to focus on strategic initiatives that drive organizational growth. Your work supports Zone’s broader strategy of building a high-performing and engaged workforce.

 

As People Operations Specialist, your job responsibilities include the following:

        Oversee Daily HR Administration

Manage employee records, HRIS maintenance, data entry, and documentation with a meticulous eye for detail. Ensure accuracy, confidentiality, and compliance of all employee information.

        Employee Lifecycle Coordination

Manage all operational aspects of onboarding, performance evaluations, benefits administration, promotions, transfers, and exit processes—always maintaining a high standard of organization and responsibility.

        First-Level Employee Support

Address 1st-level employee inquiries and assisting with HR-related issues. Support employee relations initiatives and maintain clear communication channels to foster a positive workplace culture

        Engagement Programs & Events

        Assist in planning and executing employee engagement programs and events (team-building activities, wellness initiatives, and recognition programs).  

        Coordinate engagement surveys and feedback sessions, analyze results, and track subsequent improvements.

        Maintain engagement communications (e.g., sharing organizational updates and informational banners) to keep employees informed and motivated.

        HR Data & Reporting

Compile, analyze, and maintain HR metrics and reports (e.g., headcount, turnover, performance, diversity, and employee engagement) for management review. Ensure data accuracy and timeliness to support data-driven decision-making.

        Process Improvement

Identify opportunities to enhance HR workflows, reduce administrative overhead, and implement continuous improvement measures. Ensure all processes run seamlessly by maintaining rigorous oversight and attention to detail.

        Policy Compliance & Auditing

Assist in developing, implementing, and monitoring HR policies and procedures in accordance with legal and organizational standards. Participate in periodic audits to ensure HR processes adhere to established policies.

        Project & Initiative Support

Assist in executing HR projects and strategic initiatives (e.g. training programs, HRIS enhancements, and talent development initiatives). Collaborate with cross-functional teams and external partners to ensure seamless project implementation and alignment with organizational goals.

        Operational Continuity

Provide backup support for People Operations tasks as needed, ensuring smooth operational continuity and timely resolution of HR issues.



Requirements

        You have proven expertise in maintaining and updating HR systems (e.g., Zoho People, Engagedly, Seamless PayDay), ensuring efficient HR operations.

        You excel at compiling, interpreting, and presenting HR metrics and KPIs to align with business objectives.

        You are proficient in using collaboration platforms (e.g., MS365, Teams) to facilitate seamless communication and streamline HR processes.

        You have competence in documenting processes, maintaining records, and ensuring adherence to HR policies and compliance standards.

        You take pride in meticulously ensuring data accuracy and thrive on keeping records organized and compliant.

        You demonstrate strong organizational and multitasking abilities and maintain a high level of responsibility in a fast-paced environment.

        You demonstrate a proactive, self-starting approach, tackling challenges with persistence, enthusiasm, and a strong execution mindset.

        You exhibit excellent communication and interpersonal skills, enabling effective interaction with employees, managers, and external partners.

  • Bachelor’s degree in Social Science, Human Resources, or a related field.
  • Minimum of 3 years of experience in HR operations or a related role within a dynamic, fast-paced environment.
  • Proficiency with HRIS systems, advanced Excel, and HR reporting tools.
  • Familiarity with HR policies, compliance requirements, and best practices in talent management.
  • HR-related certifications such as ACIPM, SHRM-CP, PHR, or equivalent are a plus.
  • Experience with HR analytics and automation tools is desirable.

 

Physical Requirements: 

We currently run a flexible work structure; some days are remote while others require you collaborate with colleagues at the office location. For each situation, you may have:

Prolonged periods sitting at a desk and working on a computer.

 

This role reports to the People & Culture Manager.
