Role Summary
Acts as the focal point for all people-related activities pertaining to the assigned country. Partners with Managers, other P&O functions, and employees to ensure all P&O programs and policies are properly implemented within assigned units. Handles all operational P&O matters ensuring that ADES satisfies the industry standards, country regulations, and client training and personnel requirements.
Duties and Responsibilities
Hiring & Onboarding
• Liaises with functional/operational managers to fulfill workforce plans that are appropriate for their business needs, within ADES’s overall recruitment strategy and guidelines to ensure no shortage in manning.
• Acts proactively to ensure the development of a pool of qualified candidates in advance of need.
• Ensures that all employment applications have been reviewed, and background check reports were conducted when needed.
• Accountable for managing the onboarding process of the assigned crew and office staff to ensure 100% of hired crew board the rigs/staff in a timely and smooth manner.
• Responsible for ensuring that the hiring/rig Manager completes the Probation Period Evaluation on Oracle in a timely manner.
Contract Issuance
• Ensures employment contracts for all ADES employees have been accurately and timely issued, and properly archived post signature.
Crew Management
• Maintain and review the crew change plan with the Rig Manager to ensure that it is up to date.
• Arranges the mobilization of the Crew members from and to the rigs.
• Manages emergency evacuation in injury or illness cases to ensure all is done in a timely manner.
• Liaises with GRO Specialist to maintain the necessary Permits for all crew members is valid and up to date.
Timesheet & Payroll
• Ensures that the monthly time sheet and payroll details for assigned rigs (Cell) are accurate and consolidates them into the Monthly Effects sheet as per pre-set timelines for the next payroll cycle.
• Liaise between crew and payroll team on all payroll issues, data, and inquiries.
• Maintains, updates, and ensures the integrity of all Employee Data and Transactions on all P&OIS platforms (i.e., Oracle, Skills VX, and any other future software)
• Reviews the sick leaves report to ensure that the approval of the Ministry of Health and ensure it is marked on the time sheet for the rig crew and on Oracle for the office employees.
• Liaise with the Employee Service Specialist to ensure completion of the hiring/exit document signatures and benefits enrollment/removal for new employees/leavers and their dependents.
Personnel
• Maintains, updates, and ensures the integrity of all Employee Data and Transactions on all P&OIS platforms (i.e., Oracle, Skills VX, …etc.)
• Maintains personnel files including creating, archiving, and retrieval, ensuring document compliance to ADES and Local Labor Laws.
• Initiates and acquires approvals for any change of employee status/employment letters (i.e., promotion, transfer, …etc) according to pay scale, upon the request of the People Operations Director.
• Answers any questions employees have about their benefits and contracts.
Disciplinary Actions
• Responsible for administering disciplinary actions in accordance with company policy and local laws with advice from the People Manager/Lead or People Director as the case may be in consultant with operations.
Government Authorities and Regulations
• Research and monitor government activities that could affect the organization’s business and clients.
Benefits Enrollment
• Accountable for the enrollment, update of entry, and deletion of all ADES employees in the appropriate medical and life insurance providers as per the approved matrix.
Training & Compliance
• Confirms rig's training plan quarterly, liaises with the Training team and logistics to ensure that all assigned employees have attended required trainings, and ensures training certifications are uploaded on the system.
• Maintains the Assigned rig's training compliance above the approved target at all times.
Employee Performance
• Follows up with Rig Manager on Performance Appraisal Process in the Country to ensure that all is done in time and in accordance with the company policy and guidelines.
Communications
• Maintains a regular communication channel with the Rig Manager, OIM, and crew (whether onboard or offboard) and responds to their inquiries and requests in a timely manner.
• Conduct periodic Rig Visits as per the target set.
Checklists and Reports
• Ensure that all tasks as outlined in the checklists are covered and provide a rig visit report within 48 hours of the Rig Visit.
• Prepare and provide any requested P&O reports in a timely manner.
Exit Management
• Manages employee Exit Processes/interviews and issues Exit documents, Release Letter, and necessary letters of experience and liaises with the payroll team to finalize employee final settlement.
Requirements
• Bachelor’s degree in human resources, Business Administration, Management
• 1–2 years of experience in HR or Operation roles.
• Familiarity with HRIS systems (e.g., SkillesVX, Oracle) is often preferred.
• Understanding of basic HR functions like payroll support, onboarding/offboarding, contracts renewable and compliance documentation.
• Proficiency in Microsoft Office (especially Excel, Word, and Outlook).
•Basic understanding of labor laws and HR policies.
•Familiarity with recruitment support, benefits administration, or employee relations.
