πŸ™Œ The Role
Your mission as People Operations Specialist is to support a positive, consistent, and high-quality employee experience across Boundless Life. As People Operations Specialist, you are responsible for ensuring that our People infrastructure is accurate, compliant, and consistently executed. You will own and strengthen the operational backbone of the People function, from contracts and documentation to payroll inputs, relocations, and system accuracy.
This role focuses on building reliable processes, clear documentation, and scalable systems that enable managers and employees to navigate key lifecycle moments smoothly. You will work closely with People Leadership, Finance, Legal, and local operations to ensure country-specific compliance and operational excellence.
You will continuously improve how we work by identifying gaps, streamlining workflows, and ensuring that our People processes are structured, documented, and future-proof.

πŸ”§ What you’ll do
During your day to day, you will cover the following areas:

Global Compliance & New Country Expansion
Support new country expansion from a People Operations perspective, including:
Entity setup coordination
Employment model alignment (employee vs contractor)
Compliance readiness checks
Coordinate with Legal, Finance, and external advisors on labour law and regulatory topics
Maintain country-specific compliance trackers and ensure employment documentation standards are up to date
Prepare, issue, and maintain employment contracts, addendums, and official employment letters
Own visa and work permit processes for standard cases, ensuring documentation accuracy and timely submissions
Proactively flag compliance risks and recommend operationally sound solutions

Payroll Coordination & Data Accuracy
Coordinate payroll processes across countries (without directly executing payroll)
Maintain accurate employee and compensation data within the HRIS
Collect and validate payroll inputs from managers and Finance
Ensure all changes (salary updates, bonuses, contract amendments, leaves, terminations) are reflected before payroll cut-offs
Flag discrepancies, data inconsistencies, and potential risks proactively
Ensure documentation and payroll records remain audit-ready
People Systems & Infrastructure
Own and continuously improve the People systems architecture (HRIS, document storage, workflows, compliance trackers)
Maintain clean, structured, and accurate People data across systems
Run regular data audits to ensure consistency and integrity
Evaluate system gaps and implement scalable solutions
Partner with stakeholders to ensure systems support operational and compliance needs

Process Design & Operational Excellence
Build and automate scalable People Ops processes (onboarding, offboarding, employment changes, mobility cases)
Create and maintain structured People Ops playbooks, workflows, and internal documentation
Standardize templates, trackers, and operational procedures across countries
Improve process clarity and reduce friction for managers and employees
Continuously identify opportunities for efficiency, automation, and risk mitigation

Reporting & Operational Visibility
Support reporting needs related to headcount, compliance status, audits, and employment trends
Maintain structured dashboards or trackers for People-related metrics
Ensure documentation and data are accessible, organized, and transparent

Your success will be measured by:

  • High accuracy and reliability in employment documentation and data
  • Strong compliance confidence across all operating regions
  • Payroll coordination that is timely, clean, and error-free
  • Clear, well-documented, scalable People Operations processes
  • Consistent data integrity across People systems
  • Proactive identification and resolution of operational risks

🀝 Your manager
You will work directly with Gemma, Global People Partner & Operations Manager. Over the past 10+ years, she has worked in fast-paced, ever-changing environments, aligning People & Culture strategies with business goals to drive real impact.

🫢 About you
You will leverage your experience as a People Operations Specialist, HR Operations, or HR Generalist supporting distributed teams across multiple countries, with a strong focus on employee experience and day-to-day people support.

  • You've worked in a startup environment and are energised (not overwhelmed) by the reality of a changing, fast growing company.
  • You're independently minded, detail-oriented, and proactive β€” you notice what's missing and fix it without being asked.
  • You thrive in remote and distributed work environments and can manage multiple workstreams with minimal oversight.
  • You're internally client-facing β€” approachable, responsive, and trusted by managers and employees alike as a reliable first point of contact for operational people topics.
  • You have hands-on experience managing onboarding, offboarding, and employee lifecycle administration end-to-end.
  • You have practical knowledge of labour law and statutory entitlements across EU jurisdictions and ideally some familiarity with Asian markets (e.g. Japan, Thailand, or similar).
  • You've coordinated payroll processes and are comfortable being the operational owner of a platform like Deel or a similar global EOR/payroll tool.
  • You've supported or managed relocation and visa coordination, working across multiple vendors and jurisdictions simultaneously.
  • You're a natural system-thinker β€” able to assess what's in place, identify what's missing, and build what's needed with the resources available.
  • You're organised, accurate, and comfortable in ambiguity β€” you make good decisions even when the rulebook doesn't yet exist.
  • You've worked in organisations with 80–250 people, ideally across multiple countries and time zones.
  • You speak and write English at a native or advanced level and are comfortable working with international teams across cultures.
  • You collaborate effectively with Finance, Legal, and Operations and understand how People Ops decisions ripple into those domains.
  • You care about getting things right β€” not just getting things done β€” and bring empathy, precision, and a service-oriented mindset to everything you do.
