We are seeking a People Operations Associate to join our Human Resources team and serve as the operational backbone of our talent acquisition efforts. What will you do?

Core Responsibilities and Key Performance Objectives

  • Manage end-to-end recruiting operations in Paylocity ATS - opening requisitions, maintaining accurate records, tracking candidate progress, and ensuring data integrity across all active searches
  • Coordinate all interview logistics including scheduling interviews, alignment meetings, and debriefs while maintaining detailed scorecards and interview documentation
  • Support onboarding execution for new hires including workspace setup, office tours, first-day coordination including swag distribution, and serving as the in-person welcome presence for candidates and new employees in Boston
  • Create and maintain recruiting resources, templates, and documentation that empower hiring managers to run effective, consistent hiring processes
  • Partner with the People Operations team to continuously improve candidate and employee experience through process optimization and systematic thinking

Within the first 3 months:

  • Independently manage the operational lifecycle of requisitions from opening through offer, ensuring accurate ATS tracking, timely scheduling, and complete documentation
  • Establish yourself as the go-to person for interview coordination, successfully scheduling interview panels with minimal back-and-forth and zero scheduling conflicts
  • Create your first process improvement - whether that's a new scorecard template, hiring manager prep guide, or candidate communication workflow

Within the first 6 months:

  • Own the full operational workflow for active requisitions with complete autonomy, proactively identifying and resolving process bottlenecks
  • Lead the operational execution of LineVision’s co-op program (12 hires), including coordinating all interviews, managing offer logistics, and supporting onboarding
  • Build a comprehensive hiring manager resource library including interview guides, onboarding checklists, and best practice documentation that measurably improves hiring manager preparedness

Within the first year:

  • Serve as the project manager for recruiting operations, identifying and implementing at least 2 major process improvements that enhance candidate experience or operational efficiency
  • Develop mastery of the co-op recruiting cycle, positioning yourself to own increasingly complex aspects of the program
  • Demonstrate strong project management capabilities by successfully coordinating cross-functional initiatives that improve how LineVision hires and onboards talent

Essential Skills

  • 2-3+ years of experience in people operations, talent acquisition, project administration, executive assistant, or similar role requiring multi-stakeholder coordination and attention to detail
  • Exceptional organizational skills and attention to detail - ability to manage multiple requisitions simultaneously (10-20+) while maintaining accuracy, tracking all details, and coordinating seamless scheduling
  • Strong project coordination abilities - comfortable managing complex workflows, anticipating needs, creating systems and documentation, and improving processes
  • Professional written and verbal communication - able to interact professionally and patiently with candidates, hiring managers, and leadership while representing LineVision's culture and values
  • Systems proficiency - quick to learn new tools (Paylocity ATS, Google Workspace, Slack, Claude Enterprise AI tools) and leverage them to work at maximum efficiency

Reporting & Team Structure

  • Reports to the Senior People Operations Lead, working closely as the operational partner to recruiting efforts across all functions
  • Collaborates closely with hiring managers across Engineering, Operations, Sales, and other teams to coordinate interviews and onboarding
  • Serves as the Boston-based point of contact for candidates during onsite interviews and new employees during their first week

    • Panel 1: Technical competency & experience (project management scenarios, systems thinking, process improvement)
    • Panel 2: Teamwork, culture fit, and stakeholder management (empathy, ownership, communication style)
  • Final Round: Leadership Team & Hiring Manager Sign-Off
