Corporate Functions includes the Group’s non-banking activities and employs more than 600 people. These functions are carried out by specialists with expertise across all business units, and include the Communications, Compliance, Finance, Human Resources, Information Security, Internal Audit, Legal, Risk, Strategy & Projects, and Tax departments.
Reporting to the Learning & Talent Development Operations Manager, you will be working for the Pictet Academy, in the Human Resources department. The team supports the development of the Group’s employees and corporate culture at our offices around the world by assessing needs and implementing learning solutions to meet them.
You will provide operational and administrative support for training programmes and initiatives within the Pictet Academy and the Group’s Learning & Talent Development (LTD) community. Acting as a key point of contact for learning-related activities, you will ensure the smooth delivery of learning programmes, stakeholder support, LMS administration, reporting and cost management.
This role offers the opportunity to contribute to the delivery of learning solutions across the Group while working closely with a diverse network of internal stakeholders and external partners.
Operations, administration and reporting
• Administrating the SAP SuccessFactors Learning Management System (LMS), including course and class creation, enrolment management, learner support and system administration.
• Acting as LMS co-administrator, providing first-line support to users, troubleshooting issues and ensuring a positive learning experience.
• Acting as a key point of contact for learning-related enquiries and administrative requests, ensuring a high level of service to internal stakeholders.
• Supporting LTD managers with course planning, scheduling and coordination.
• Executing training programme communication plans and following up on assessments and evaluations.
• Managing training logistics, including room bookings, catering arrangements and maintenance of shared files on SharePoint.
• Producing and maintaining training reports, dashboards and operational metrics.
• Providing technical support to users of learning and collaboration platforms, including Klaxoon, Easygenerator and DataCamp.
Invoicing and cost management
• Managing the end-to-end processing of invoices, including collection, review, coding and submission to the Accounting Department.
• Monitoring invoice status and payments through ESKER and following up on outstanding invoices with suppliers.
• Producing cost estimates and liaising with external training providers and vendors.
• Collaborating in the invoice review process for all Pictet Academy-related expenditures and verifying SAP reporting.
• Contributing to quarterly budget reviews and cost-tracking activities.
• At least three years’ experience in an operational support, HR administration, learning administration or similar role.
• Hands-on experience administering a Learning Management System (LMS) is required.
• Advanced proficiency in Microsoft Excel (VLOOKUP/XLOOKUP, pivot tables, data validation and reporting).
• Previous experience in Learning & Talent Development, Training Administration or HR Operations would be a strong asset.
• Proven experience in delivering a high standard of customer-focused service and stakeholder support.
• Strong organisational and coordination skills, with the ability to manage multiple priorities effectively.
• Ability to work independently, prioritise competing demands and deliver accurate results in a fast-paced environment.
• Experience in invoice management, budget tracking and cost estimation.
• Strong analytical skills and excellent attention to detail.
• Excellent communication and stakeholder management skills.
• Team-oriented, proactive and service-minded.
• Experience with reporting and data analysis tools.
• Experience with enterprise systems and digital learning platforms. Knowledge of SAP SuccessFactors Learning, JIRA, ESKER and SharePoint would be a strong advantage.
• Written and spoken fluency in French and English.
• Resident in Switzerland.
