Moore & Van Allen PLLC, a dynamic and fast-growing full-service law firm of more than 400 attorneys and professionals, is seeking an Inclusion & Associate Recruiting Assistant to join its Charlotte, NC office. The Inclusion & Associate Recruiting Assistant provides administrative assistance and logistical support to the firm’s belonging, community, and new associate recruitment efforts. Responsibilities include coordinating scheduling, events, and communication efforts that promote a culture of inclusion, connection, and community involvement.

 

Essential Duties & Responsibilities:


• Coordinates logistics and provides administrative support for firmwide events and initiatives, including the Public Service Luncheon, belonging-related conferences, belonging group programming, pro bono/public service events, and related activities.


• Drafts internal communications and event announcements tied to belonging and community initiatives; collaborates with Marketing when needed.


• Assists in managing the firm’s workplace giving campaigns by coordinating with employee donors and nonprofit partners and tracking contributions.


• Supports the completion and submission of related surveys.


• Assists in planning and executing components of the summer associate and summer recruiting programs, including catering, facilities, travel, event logistics, scheduling, and project coordination.


• Posts attorney job opportunities at law schools and manages annual job posting packages using Symplicity One/Stop.


• When appropriate, screens initial applications.

• Coordinates scheduling for on-campus interviews and maintains recruiting data.


• Generates correspondence related to resume submissions, interview processes, and candidate status.


• Schedules and organizes meetings, prepares agendas and materials, and sets up virtual or in-person platforms as needed.


• Manages expense processing and general administrative tasks.

• Performs other duties and responsibilities as assigned.

• Regular in-person attendance is required to perform essential functions of this interactive position.


Qualifications & Experience:


• High School Diploma or equivalent required; Associate or bachelor’s degree preferred


• Minimum of 1-3 years of relevant experience in recruiting, community engagement, or HR preferred


• Proficiency in Microsoft Office (Word, Excel, Outlook) desired with the ability to learn additional tools such as viRecruit and Symplicity.


Physical Requirements:

• The work is primarily sedentary.


• It requires the ability to communicate effectively using speech, vision, and hearing.


• The work requires the use of hands for simple grasping and fine manipulations.


• The work at times requires bending, squatting, and reaching, with the ability to lift, carry, push, or pull light weights.
