Introduction

Our large Retail Client who branches throughout Durban (Verulam, Phoenix and Central Durban) are seeking a highly organised, people-focused HR & Payroll Administrator to provide comprehensive HR administration and payroll support while contributing to a positive, inclusive, and values-driven workplace culture.

 

The successful candidate will be responsible for accurate and confidential payroll administration, maintaining employee records, supporting the employee lifecycle, and assisting with People & Culture initiatives, employee engagement, diversity, equity and inclusion, and Employment Equity (EE) requirements.

The ideal candidate is people-centred, detail-oriented, and commercially aware, with a strong understanding of both the administrative and human sides of HR. They are comfortable working with payroll and HR data but are equally passionate about employee engagement, workplace culture, fairness, diversity, and creating an environment where employees can thrive.

 

Duties & Responsibilities

 

HR Administration

  • Maintain accurate and up-to-date employee records and HR databases.
  • Manage HR documentation, contracts, policies, and employee files.
  • Support the full employee lifecycle, including onboarding, transfers, promotions, leave, and exits.
  • Prepare HR reports, statistics, and management information.
  • Provide HR administrative support to employees and managers.
  • Assist with the implementation and maintenance of HR policies and procedures.
  • Ensure HR practices are aligned with relevant employment legislation and company policies.
  • Maintain confidentiality and integrity when handling sensitive employee information.

 

Payroll Administration

  • Process monthly payroll accurately and within agreed deadlines.
  • Capture and verify payroll inputs, including salaries, overtime, allowances, deductions, leave, bonuses, and new appointments.
  • Process employee changes and ensure payroll records are accurate.
  • Reconcile payroll reports and investigate discrepancies.
  • Assist with payroll-related queries from employees and management.
  • Maintain payroll documentation and audit trails.
  • Support statutory payroll submissions and compliance requirements, where applicable.
  • Liaise with payroll providers, finance, and other stakeholders as required.

 

People & Culture

  • Support initiatives that strengthen employee engagement, belonging, and organisational culture.
  • Coordinate employee engagement activities, wellness initiatives, and internal people programmes.
  • Assist with employee surveys and engagement feedback.
  • Support recognition and reward initiatives.
  • Contribute to internal communication and employee experience initiatives.
  • Assist managers and employees with HR-related queries and workplace matters.
  • Promote company values and a positive employee experience across the organisation.
  • Identify opportunities to improve HR processes and the overall employee journey.

 

Employment Equity, Diversity & Inclusion

 

  • Assist with the coordination and administration of the organisation's Employment Equity programme.
  • Maintain accurate workforce demographic data and prepare relevant reports.
  • Support Employment Equity consultation processes and meetings.

 

Desired Experience & Qualification

  • Grade 12 / Matric.
  • Diploma or Degree in Human Resources (Non Negotiable)
  • 2–4 years' experience in HR administration and payroll.
  • Practical experience in People & Culture or employee engagement initiatives.
