Introduction

The HR Analytics and Engagement Specialist will support evidence-based HR decision-making through accurate workforce analytics, reporting and insights while coordinating employee-engagement initiatives, including development webinars and virtual events.

The role is primarily focused on HR analytics and reporting, supported by responsibility for coordinating virtual employee events and providing project support across HR Operations and Employee Experience.

The incumbent will work closely with regional and country HR teams to consolidate workforce information, maintain dashboards, identify trends and prepare meaningful reports for leadership. The individual will also support the design and execution of professional webinars and virtual events by coordinating speakers, managing Microsoft Teams functionality and creating engaging participant experiences.

Duties & Responsibilities

HR Analytics and Reporting 

  • Collect, consolidate and analyse HR data received from countries, regions and business units.
  • Develop and maintain standardised HR dashboards, scorecards and recurring management reports.
  • Monitor and report on key workforce metrics, including:
    • Headcount and workforce movement.
    • Employee demographics and diversity.
    • Recruitment activity and vacancy trends.
    • Employee turnover and attrition.
    • Absenteeism and leave trends.
    • Learning and development participation.
    • Employee engagement and survey results.
    • Organisational structures and reporting lines.
    • Participation in webinars and employee-engagement initiatives.
  • Identify workforce trends, risks, anomalies and areas requiring management attention.
  • Translate data into clear findings, executive summaries and practical recommendations.
  • Prepare monthly, quarterly and ad hoc HR reports and presentations for leadership.
  • Support workforce planning, organisational design and employee-experience initiatives through data analysis.
  • Work with regional and country HR teams to improve the accuracy, completeness and consistency of HR data.
  • Validate information received from stakeholders before including it in formal reports.
  • Develop and maintain standard reporting templates, definitions and submission timelines.
  • Assist with the preparation and maintenance of organisational charts.
  • Support the preparation of executive, board and stakeholder reports where required.
  • Assist with the analysis of employee surveys and the tracking of resulting action plans.
  • Maintain appropriate controls to protect confidential employee and organisational information.
  • Continuously identify opportunities to streamline and automate HR reporting processes.

2. Employee Engagement, Webinars and Virtual Events 

  • Coordinate a structured calendar of employee-development webinars and virtual-engagement events.
  • Work with the Global Lead to convert identified topics and supplied content into clear webinar concepts, agendas and session formats.
  • Support the development of interactive webinar experiences using polls, moderated discussions, Q&A sessions, breakout rooms and participant activities.
  • Prepare webinar run sheets, speaker briefs, scripts, presentation templates and supporting materials.
  • Identify, approach and coordinate suitable internal and external speakers, facilitators and subject-matter experts.
  • Build and maintain a network and database of potential speakers and professional partners.
  • Coordinate speaker availability, briefings, presentation requirements and technical rehearsals.
  • Set up and manage webinars using Microsoft Teams and its relevant webinar and virtual-event features.
  • Configure registration pages, attendee access, speaker permissions, event settings and automated communication.
  • Manage invitations, registration confirmations, reminders and post-event communication.
  • Serve as the webinar producer and provide live technical and logistical support during sessions.
  • Manage presentations, screen sharing, recordings, polls, chat, Q&A, breakout rooms and attendee participation.
  • Coordinate the distribution of recordings, presentations and supporting resources after each session.
  • Develop and distribute post-event feedback surveys.
  • Track registration, attendance, participation, engagement and feedback.
  • Analyse webinar results and recommend improvements to future employee-engagement activities.
  • Use HR analytics, survey findings and employee feedback to recommend relevant webinar topics and engagement interventions.
  • Remain informed about developments in Microsoft Teams and other relevant virtual-event tools.

3. HR Project and Operational Support 

  • Provide project and coordination support to the Global Lead: HR Operations and Employee Experience.
  • Assist with the implementation of group-wide HR, employee-experience and learning initiatives.
  • Maintain project plans, calendars, action trackers, attendance records and supporting documentation.
  • Coordinate meetings, workshops, briefing sessions and employee-engagement activities.
  • Follow up with relevant stakeholders to ensure that agreed deliverables are completed within the required timelines.
  • Prepare HR presentations, reports, communication materials and project updates.
  • Liaise with regional and country HR teams regarding the implementation of global HR initiatives.
  • Support internal employee communication and engagement campaigns.
  • Assist with the coordination and monitoring of employee survey action plans.
  • Provide administrative and logistical support for HR projects as required.
  • Undertake additional HR-related responsibilities aligned with the purpose and level of the role.

Desired Experience & Qualification

  • Bachelor’s degree or diploma in Human Resources, HR Analytics, Business Analytics, Business Administration, Learning and Development, Communications or a related discipline.
  • At least three to five years’ relevant experience in HR analytics, HR reporting, employee engagement, virtual-event coordination or HR project support.
  • Demonstrated experience collecting, consolidating and analysing workforce or HR data.
  • Advanced proficiency in Microsoft Excel, including formulas, pivot tables, data validation, lookups, charts and data analysis.
  • Experience developing HR dashboards, scorecards and management reports.
  • Strong proficiency in Microsoft PowerPoint, Teams, Outlook and Forms.
  • Practical experience using Microsoft Teams webinar or virtual-event functionality.
  • Experience coordinating webinars, workshops, employee events or learning sessions.
  • Experience in using Power BI.
  • Strong written and verbal communication skills.

Package & Remuneration

R 25 000,00 - R35 000,00 CTC
