The Front Office Assistant for the Division of Talent, Culture & Human Resources (TCHR) serves as the primary point of contact for visitors and incoming inquiries, ensuring a professional and welcoming environment. This role supports daily divisional HR operations by managing communications, assisting with administrative tasks such as filing, mail distribution, and calendaring, and contributing to employee onboarding and benefits coordination. The ideal candidate will demonstrate strong communication, organizational, and interpersonal skills, while handling sensitive information with discretion. This position also plays a supportive role in diversity and inclusion initiatives and may participate in special projects across the campus.Job Duties:
Reports to the Associate Vice President, Talent, Culture & Human Resources.
This is an on campus casual position, working 20-25 hours per week Monday thru Friday.
Serve as initial point of contact for the Talent, Culture & Human Resources division by managing and screening incoming phone calls to the main phone line, greeting and assisting visitors, and providing assistance with general inquiries in an efficient, professional, and courteous manner.
Assist with electronic filing, photocopying, faxing, overseeing department email accounts, and opening and distributing office mail. Deliver, pick up, and process documentation with discretion.
Calendaring, as requested.
Maintain office equipment supply levels; or notify appropriate HR Team members when supply level is low with item(s) for reordering.
Assist HR Team with various other tasks and projects as assigned. (e.g. submit Facilities work orders, supports employee recognition program preparation, etc).
Provide assistance with new employee orientation and onboarding process by assembling forms, packets, making outreach calls to new employees, and serving as an I-9 verifier.
Assist benefits team in the management and distribution of material, including but not limited to: assembling FMLA packets, maintaining adequate supplies, distributing benefits cards as directed.
Provide support to Learning and Development team, including but not limited to: enrolling new hires in learning system, preparing course materials, reserving meeting rooms and coordinating refreshments, distributing reminders and related updates.
Participate in campus-wide or department specific strategic projects, committees and working groups as needed.

High School Diploma/GED Equivalent
Excellent verbal and written communication skills
Demonstrated ability to meet project deadlines while balancing daily tasks and responsibilities
Exemplary interpersonal skills
Proven success in a fast-paced, public setting, with the ability to be flexible, to make independent judgements in answering or referring questions, and in dealing with a broad spectrum of individuals, while ensuring a strict code of confidentiality
Technical proficiency in relevant applications such as MS Office (Word, Excel, PowerPoint), Google Suite, Human Resources related software to effectively gather, interpret, organize, and present data and information
Ability to collaborate, influence and establish trust with campus partners. Previous experience building relationships and working with sensitive and confidential information
Strong organizational skills; evidence of self-motivation; demonstrated ability to plan, schedule and work both independently and in teams within a service-oriented organization
Previous HR office experience
Ability to perform essential job functions within an office environment, with or without reasonable accommodations. This includes the capacity to engage in activities such as sitting, standing, and moving within the office and campus.

17.50-17.50The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.
This role is not budgeted for visa sponsorship at this time, all candidates must be authorized to work in the US at the time of submission of the application.
