Introduction

Support and assist the finance function with general transactional, administrative, and control-related activities across retail and central operations

Assist the Accountant and, where applicable, the Bookkeeper in maintaining accurate, complete, and well-controlled financial records

Ensure finance documentation, records, and supporting schedules are properly maintained, organised, and audit-ready

Provide general executional support to ensure continuity, accuracy, and efficiency within finance processes

Duties & Responsibilities

Finance Processing & Queries

  • Support and assist with general finance transaction processing across the finance function
  • Assist with capturing financial entries where required and under supervision
  • Support validation of financial data accuracy and completeness of supporting documentation
  • Assist with basic finance queries and escalate where necessary

Finance Administration & Controls

  • Support and assist with general finance administration activities within the finance function
  • Maintain accurate filing of finance-related documentation and records (electronic and hard copy)
  • Maintain SharePoint and SOP registers
  • Maintain daily count registers and petty cash registers
  • Perform trainee-related tasks as required
  • Support internal and external audit requests
  • Support business requests that are sanctioned by the Accountant
  • Provide backup support across finance processes as required, including during leave, peak periods, and operational demands
  • Support collection, collation, and filing of payment-related supporting documents
  • Escalate unresolved or complex queries to senior finance team members

Audit, Reporting & Documentation

  • Support and assist with audit filing and document control processes
  • Maintain organised electronic and physical filing systems for finance records
  • Assist with ensuring documentation is complete, correctly labelled, and audit-ready
  • Support retrieval and preparation of documents for audits and internal reviews
  • Assist with maintaining compliance with document retention standards
  • Assist with expense analysis and preparation of basic supporting schedules
  • Prepare basic spreadsheets and master templates

Fixed Assets

  • Support and assist with fixed asset administration within the finance function
  • Support maintenance of fixed asset registers and supporting documentation
  • Assist with coordination of asset verification exercises and related documentation
  • Stock & Inventory
  • Support and assist with stock and inventory-related finance administration
  • Assist with stocktake preparation, coordination, and checklist completion
  • Support capturing and filing of stock count sheets and variance documentation
  • Assist with basic stock-related reconciliations and supporting schedules where required

 

Finance Controls

  • Support and assist with daily finance controls and checklist completion processes
  • Assist with completion of daily finance and store control checklists
  • Support compliance monitoring by ensuring required documentation is completed and filed timeously
  • Escalate control exceptions, variances, or missing information to senior team members
  • Contracts and Lease Administration & Document Management
  • Support and assist with contracts and lease administration processes within the finance function
  • Maintain hard copy and electronic filing of contracts, lease agreements, and related documentation
  • Assist with updating and maintaining SharePoint folders for finance inputs
  • Ensure contract and lease documentation is complete, correctly filed, and easily retrievable for audit and operational requirements
  • Support version control and document organisation across contract and lease records

General Finance Administration

  • Support and assist with general finance administration activities
  • Assist with preparing spreadsheets, basic reports, and supporting reconciliations
  • Support month-end processes through data gathering, validation, and document collation
  • Provide administrative support to the Accountant and Bookkeeper during month-end close
  • Assist with ad hoc finance tasks as required to support operational requirements and continuity of finance functions

Minimum Requirements

  • Matric (Grade 12), preferably with Accounting
  • Diploma in Finance/Accounting (advantageous)
  • 0–2 years’ experience in a finance or administrative support role
  • Exposure to retail finance environment beneficial
  • Basic Excel skills required

Package & Remuneration

R25 - R35K depending on experience
