As we continue to expand, we are looking for a highly motivated and experienced executive assistant with a strong background in recruitment and candidate interviewing to join our HR-Admin team. Position Overview: 

This role is ideal for someone who thrives in a fast-paced remote environment, has knowledge in HR or recruitment tasks, and is comfortable working independently. The executive assistant will be primarily responsible for assisting with recruitment activities, organizing candidate and employee records, scheduling interviews, and providing general administrative support to the HR team.


Key Responsibilities:

  • Assist in posting job ads and updating job boards

  • Screen candidates based on defined criteria and schedule interviews

  • Coordinate interviews and communicate with applicants and hiring managers

  • Conduct basic reference checks and assist with preparing offer letters

  • Help maintain candidate and employee databases

  • Support new hire onboarding (e.g., sending forms, tracking completions)

  • Prepare simple reports related to recruitment status

  • Organize and maintain digital HR files and records

  • Assist with special projects and administrative tasks as needed


Skills/Knowledge:

  • 1–2 years of experience as an executive assistant with HR/recruitment responsibilities

  • Excellent written and verbal English communication

  • Highly organized, detail-oriented, and dependable
    Able to manage time effectively and work independently

  • Proficient with online tools such as Google Workspace; experience with applicant tracking systems (Zoho Recruit is a plus)

  • Knowledge of professional email etiquette and document handling

  • Discreet and professional in managing confidential information

  • Experience in a remote or virtual work setting is preferred



Requirements

Qualifications/Requirements:

  • Minimum of 2 years' experience as an executive assistant with a strong recruitment focus

  • Excellent English communication skills

  • Strong analytical skills with the ability to gather, interpret, and present HR and recruitment data effectively.

  • Proven ability to work independently, manage time efficiently, and meet deadlines with minimal supervision.

  • Consistently adheres to company policies, procedures, and regulatory requirements.

  • Positive, proactive, and enthusiastic attitude with a team-oriented mindset.

  • Experience working in an agency or a fast-paced hiring environment is a plus

  • System Requirements:

    • Desktop/Laptop: Your processor should be at least Intel Core i5 or higher, or equivalent, with 4GB of RAM (recommended 8GB)

    • Internet connection should have at least 10 Mbps


Work Hours:
  • Full-time (40 hours a week)

  • Monday-Friday

  • Between 10 AM-7 PM Pacific Time
