The City of Springfield is looking for a confident executive administrative professional to serve as the Executive Assistant to the Human Resources Director. 


The Executive Assistant to the Human Resources Director will perform advanced level, complex and confidential administrative support work while providing direct and high-level support to the Director of Human Resources.  This role is pivotal for the overall success of the Director and Human Resources department.  The Executive Assistant fully manages the Director's calendar, coordinates Personnel Board activities, communicates and coordinates with various City departments, including the offices of the City Manager and City Attorney, prepares and executes highly confidential documents, and coordinates with the City Clerk on department records retention needs as well as the preparation of other documents.  The ideal candidate will have previous experience supporting an executive level manager, a demonstrated ability to complete tasks quickly and efficiently, as well as prior experience with financial reports and a general understanding of accounting procedures.  


Due to the nature of the role, the ideal candidate will have a commitment to confidentiality, exhibit a strong attention to detail, excellent verbal and written communication skills, an ability to exhibit confidence when speaking with senior and executive level leadership, and a strong proficiency with Microsoft Office and HRIS or similar systems. 

  

What you'll do:

  • Provide a high level of executive administrative support to the Director of Human Resources. 
  • Supports a strategic leader with a demanding schedule and evolving priorities.  
  • Handles sensitive, confidential and complex administrative items on behalf of the Director
  • Coordinates department financial processing and budget monitoring.
  • Prepares a variety of correspondence and reports.
  • Coordinate activities for the Personnel Board.
  • Personal contact with representatives of other departments, agencies, and outside consultants.
  • Strategize and problem-solve collaboratively.

Qualifications and Requirements

Experience, Education, and Training

  • At least three years of responsible administrative office work experience is required.  
PREFERRED
  • Previous experience supporting a executive level position.
  • Financial/budget tracking is preferred
Licensing/Certification
  • Obtain Notary certification within first year is a plus.
 AND 
  • Possess a valid driver's license and provide own vehicle for on-the-job transportation purposes.
 PREFERRED
  • Certified Administrative Professional (CAP) is desirable.
