About the Role
As the Concierge and Workforce Planner, you will be the welcoming face of our residential care facility, providing exceptional service to residents, visitors, families, employees, and prospective customers. You will also play a critical role in workforce planning, rostering, and employee liaison to ensure the efficient delivery of residential care services.
This diverse role combines front-of-house reception, administration, customer service, workforce scheduling, and employee support responsibilities.
Key Responsibilities
Concierge and Administration
- Welcome residents, visitors, and customers in a professional and personalised manner.
- Manage reception and maintain a high-quality front-of-house environment.
- Respond to enquiries via phone, email, and in person.
- Provide information regarding facility services, programs, and amenities.
- Coordinate bookings, reservations, meetings, catering, and events.
- Maintain resident records and support account administration.
- Prepare correspondence, meeting agendas, and minutes.
- Manage office supplies and administrative processes.
- Promote services that enhance the resident and customer experience.
Workforce Planning and Rostering
- Develop and maintain effective staff rosters.
- Manage day-to-day roster adjustments and replacement staffing requirements.
- Coordinate leave planning and workforce availability.
- Ensure roster allocations align with operational requirements and budget targets.
- Maintain accurate employee and roster data within workforce management systems.
- Work collaboratively with payroll and management teams to meet reporting requirements.
Employee Liaison
- Communicate roster changes and workforce updates to employees.
- Respond to employee rostering and payroll enquiries in a professional and supportive manner.
- Support positive workplace relationships and team engagement.
- Collaborate with managers and colleagues to achieve organisational workforce objectives.
About You
To be successful in this role, you will demonstrate
- Minimum 2 years' experience in customer service, hospitality, administration, or a related field.
- Excellent verbal, written, and interpersonal communication skills.
- Strong organisational and time-management abilities.
- High-level computer literacy and database management skills.
- Ability to multitask and work effectively in a fast-paced environment with competing priorities.
- Strong attention to detail and accuracy.
- A genuine commitment to delivering exceptional customer service.
- Professionalism, discretion, and the ability to maintain confidentiality.
Desirable
- Experience in workforce scheduling or rostering.
- Experience working within aged care, healthcare, retirement living, or community services.
- Certificate in Business Administration or a related qualification.
- Experience with payroll or workforce management systems.
