About the Opportunity:
John Paul College is seeking a professional and organised Community Engagement Assistant to join our team from January 2026.
This full-time role is central to the smooth operation of the College's front-facing services, providing high-quality administrative and customer service support to the Director of Community Engagement and the broader Community Engagement Team.
Reporting to the Director of Community Engagement, this position works collaboratively across departments to support engagement initiatives that strengthen relationships within the John Paul College community.
The Key Responsibilities of the Community Engagement Assistant will include:
- Managing the College's main switchboard and overseeing Main Administration Reception, ensuring all enquiries are handled promptly and professionally.
- Providing day-to-day administrative support to the Director of Community Engagement, including diary management, meeting coordination, correspondence and expense reporting.
- Coordinating school photo schedules with Studio Kirby, managing approvals for class, staff and co-curricular photography, and maintaining the College's Pixevity image platform.
- Supporting the distribution of College publications such as Eagles and the annual Yearbook.
- Providing logistical support for College events, including preparing registration lists, name tags and event materials.
- Managing alumni registrations and updates in ToucanTech and assisting with proofreading marketing materials.
- Monitoring and triaging general enquiries via the College website and managing student lost property, mail and postage requirements.
- Providing administrative assistance to the Admissions Team as required.

About You:
You are a warm, professional and detail-oriented individual with strong organisational skills and the ability to manage competing priorities in a busy environment.
You demonstrate excellent communication abilities, work collaboratively with diverse stakeholders, and take pride in delivering exceptional customer service.
Essential qualifications and experience include:
- Experience in an administrative or customer service role, ideally within an education, not-for-profit or community-focused environment.
- Demonstrated ability to provide diary and scheduling support to a manager or team.
- Experience working with the public in person, by phone and online, with a strong focus on professionalism and service.
- Strong organisational and time management skills with the ability to prioritise effectively and maintain attention to detail.
- Excellent written and verbal communication skills with a warm, engaging approach.
- Demonstrated proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and confidence learning new digital platforms.
- Certificate III or IV in Business Administration, Marketing, Communications or a related field (or working towards) is desirable.
- Current Paid Blue Card (Positive Notice Working with Children check) or ability to obtain one prior to commencing.
